Manage User Access in Phoenix
You can manage all platform access for your team in the Admin > Users section of the Phoenix Dashboard. From here, you can create new admin accounts, edit permissions, or remove users who no longer need access. Proper access management helps protect sensitive data and ensures every team member has the correct level of control.
The sections below explain how to view, create, update, and delete users.
View All Existing Users
The Users page provides a complete list of administrator accounts associated with your client and stores. This table allows you to verify who is active, what role they have, and when they last logged in.
To view existing users:

Log in to your Phoenix Dashboard.

In the left navigation panel, go to Admin > Users.
You will now see a full list of users, including:
- User ID
-
Clients (the store or environment the user belongs to)
- Name
-
Status (Active/Inactive)
-
User Type (role or access category)
-
Action icons (to edit or delete the account)
Use this table to review activity, validate permissions, and ensure only authorized team members have access.
Create a New User Account
Creating a new user allows you to control who can access stores, manage subscriptions, view transactions, and perform administrative tasks. Each user is assigned a role that defines their permissions. Phoenix will send an authentication email automatically so the new user can log in securely.
To create a new user:

In the Users page, click + Add User at the bottom of the user list.

Fill in the following fields:

Client: Select your client name from the dropdown list.

Store: Choose the store where you want to add the new user. You will see a list of stores associated with your client account. Select the correct one.

Name: Enter the user’s full name (for example, John Doe).

Email: Enter a valid email address. This address will receive the authentication link for account access.

User Type: Choose one of the following roles:

Accountant: Provides access to financial reports and accounting-related data.
-
Analyst: Grants visibility into analytics and reporting insights.
-
Analyst + Support + Subscriptions: Gives combined access to analytics, support tasks, and subscription tools.

Customer Support: Provides limited access for handling basic customer support tasks.

Customer Support Admin: Grants full access, including the ability to manage other support users.

Front-End Dev Access: Provides access to developers working on checkout or UI implementation.

Gateway Administrator: Allows management of processors, routing, and gateway configuration.

Merchant Access: Grants partner-level access for business management.

Status: Select Active from the dropdown menu to enable the user immediately (this option is selected by default).

Click Confirm to save the new user.
The user will receive an email to activate their profile and set a password.
Use this option when onboarding employees, contractors, or team members who need platform access.
Edit an Existing User
You can update a user’s information or permissions at any time useful when someone changes roles or requires adjustments to their access level.
To edit a user:

In the Users page, click the Edit icon (pencil) in the Actions column next to the user you want to modify.

Update the necessary fields, such as:

Client
-
Store
-
Name
-
Email
-
User Type (role or access level)

Status
-

Click Confirm to apply the changes.
Use this when team responsibilities change or when access levels need to be increased or restricted.
Delete a User
Deleting a user permanently removes their access to the Phoenix Dashboard. This ensures that former employees, contractors, or inactive accounts cannot log in.
To delete a user:

In the Users list, click the Delete icon (trash can) in the Actions column next to the user you want to remove.

Click Confirm to complete the deletion. This will revoke the access immediately.
Use this action when offboarding team members or cleaning up accounts that are no longer needed.
